Individual Team Member Settings

These settings apply to one specific user. Use them when a member needs different access from the rest of the team.

Setting / Toggle What it does User-friendly explanation
Enable all campaign permissions Turns on broad campaign permissions for the selected member. Use carefully. This gives the member broad campaign access and may override more restrictive category-level choices.
Create campaigns Allows the member to create brand-new campaign records. If off, the member should not create new campaigns. They may still be allowed to edit existing campaigns if “Edit Only” is enabled.
Edit Only Allows the member to ONLY add new links to existing campaigns. Does NOT allow user to change or add campaign category as Category is campaign-level artifact. This is for users who should work inside existing campaigns, such as adding links or editing allowed content, but not create new campaign records.
View Only Allows the member to view campaigns but not edit them. Use for reviewers or stakeholders who should see campaign records without changing anything.
Delete campaigns Allows the member to delete campaigns. Usually keep off. Deleting campaigns can affect reporting and historical records.
Approve Links Allows the member to approve links, if approval workflow is enabled. Grants link approval capabilities only where the global approval workflow is active, and the user satisfies the necessary owner and permission gates.
Category-level permissions Limits the member’s campaign access to selected categories. Use this when a member should only work on campaigns in specific business areas, regions, brands, or workstreams.
Selected Category: Create Allows campaign creation inside that selected category. If enabled, the member can create campaigns assigned to that category.
Selected Category: Edit Only Allows editing existing campaigns in that selected category. Good for members who should add/edit links in existing campaigns but not create new campaign records.
Selected Category: View Only Allows viewing campaigns in that category only. Use for limited-access reviewers.
Selected Category: Archive Allows archiving campaigns in that category. Use carefully. This affects campaign lifecycle management.
Selected Category: Delete Allows deleting campaigns in that category. Use very carefully. Usually admin-only.
Enable all tag & template permissions Turns on broad tag/template permissions for the member. Use only for trusted users who help manage taxonomy or templates.
Add & import tags, add & edit templates Allows the member to add/import tags and create/edit templates. This is powerful. Members can affect the shared taxonomy and template experience.
Export tags Allows the member to export tag libraries. Useful for governance/reporting users who need to review taxonomy outside the app.
View Only (Global) Allows the member to view all campaigns across the entire team, but not edit them. Keep off if you intend to isolate a user to a specific category. Turning this on grants team-wide visibility.
Category-level permissions Selecting a single category for a user limits the member’s campaign visibility and access strictly to selected category. Must be enabled alongside “Selected Category: View Only” to allow user to still see the team’s campaigns. If Global View is unchecked, then user can only see campaigns in the category within which they are allowed to operate.
Selected Category: View Only Allows viewing campaigns and links inside that specific category only. Use this for highly restricted reviewers or stakeholders. When global permissions are turned off, this user cannot create or edit anything, and can only see records within this single category.

Important Rule: Campaign Category vs Custom Tags

Field What it controls Who should manage it Best use
Campaign Category The campaign record itself. Changing it can move or reclassify the whole campaign. Admins or users with campaign create/category permissions. Campaign organization, major grouping, admin-controlled structure.
Custom Tag Metadata applied during link creation. Admins define it; members can select values if allowed. Region, Business Unit, Product Line, Market, Language, Audience, etc.
